Converting to Innovate
How long will it take to migrate my data to Innovate?
While this depends on the data the availability of those involved, conversion typically takes 2-3 months to complete and involves working as a group with the Innovate team and completing tasks independently.
Group – Each week will require a commitment of 1-3 hours of online training with the Innovate team.
Independent – Each week will require a commitment of 1-5 hours for a review of data for the purposes of instructing the Innovate team how the data should be mapped.
Who on my team should be involved in the migration plan?
- Internal Project Manager – Appointed by the customer to assist the Innovate team with scheduling and coordinating weekly meetings as well as following up on assigned tasks.
- Agreement/Compliance Reviews agreement records for accuracy and completeness. Ensures that terms, financial and reporting compliance are correctly imported.
- Patent Coordinator Reviews patent records for accuracy and completeness. Will also work with Innovate and the finance team to on-board law-firms to the legal portal.
- Finance Manager Reviews financial data for accuracy and completeness. Ensures that all historic items are in Innovate and linked to their appropriate records. Will also be involved in compliance meetings to review reports for upcoming items.
- Marketing Manager Reviews people and group records for accuracy. Will be trained to use Innovate for marketing purposes.
- Leadership Reviews the system to ensure that all reports required for their role are present.
- IT Works with Innovate team to integrate with single sign-on and integration with any other systems within the organization.
- Law Firm Billing Contacts Works with patent coordinator, finance, and Innovate team to train on using the legal portal and establish credentials.
- Any other person or group that will be using the system This includes college deans, department chairs, and any other group or person that is approved to access Innovate by office leadership.

What else happens when we convert?
Creation of an Innovate test environment for use during weekly meetings and for the team to work in independently.
Obtain data from existing provider that will be imported into the Innovate test environment.
(If necessary) Import financial data from general ledger other sources as required.
Once a conversion date is picked, the office will stop using their existing system on a Friday and will start using Innovate the following Monday.
