Agreement Record – Details

  • Workflow – Used to record tasks and dates for managing an agreement. Workflow types can be customized in system settings and can be reported on from the drop-down list of the agreements search page.
  • Agreement Request Forms – Contains a PDF copy of agreements completed in the forms section
  • Dates – Critical for reporting. Every active agreement should have an effective and execution date and all inactive agreements should have a terminated or expired date.
  • Effective Date – Date the agreement is effective based on the language in the agreement
  • Execution Date – Date of the last signature obtained on the agreement
  • People – People related to the agreement. The types of people that are linked to an agreement are defined by the organization.
    • Negotiator – Lead – Associate that lead the deal
    • Manager – Primary – Associate currently assigned to the deal
    • Investigator – Internal, Primary – Creator contact
    • Submitted By – Associate that entered the agreement into the system
    • Billing Contact – Accounts payable contact for the licensee
  • Groups – Organizations that are related to the agreement. There are a few groups that should be linked prior to changing the agreement status to Active:
    • License agreements should have a licensee
    • Inter-Institutional Lead agreements should have a co-owner
    • Owning Organization is the label for the group that is leading the agreement
    • Inter-Institutional Non-Lead agreements should have the other party listed as the owning organization
  • Categories – Used for reporting and marketing
  • Custom Fields – User defined fields that can be used to track information that is not able to be tracked elsewhere. Custom fields can be created and managed in settings.
